Trust Officer / Senior Trust Officer

The Role

Responsibility for the day-to-day administration and provision of excellent client service to a defined portfolio of clients and other stakeholders.  Act as a primary point of contact to clients and trust stakeholders as well as being part project specific Saffery Trust teams in other jurisdictions.

Responsibilities

  • Responsibility for the day-to-day administration and provision of excellent client service to a portfolio of clients and trusts both in the UK and supporting our non-UK teams internationally
  • Ensuring compliance with statutory reporting requirements including the Trust Registration Service and Companies House 
  • Ensure bookkeeping is accurate and all relevant information is available to enable accounts to be prepared. Assist with queries arising in the production of accounts and reviewing of accounts where appropriate
  • Always being vigilant against risks of money laundering, terrorist financing, corruption and other unacceptable practices in the financial system
  • Responsibility for opening and closing entity bank accounts and ensure full understanding of any funds received into client bank accounts and that payments are made in line with policies and procedures. Monitor cash balances and cash flow on client bank accounts in line with internal procedure and recommendations then take appropriate action to avoid overdrawn positions and large uninvested cash balances
  • Ensure great communication with stakeholders and directors to help ensure instructions are fulfilled
  • May attend client meetings along with preparing all necessary documentation following consideration of style and tone of communications appropriate for the individual stakeholder and intermediary needs
  • Review and understand all categories of investments/assets and reporting then liaise with investment advisors in connection with the requirements of any relevant internal committees while ensuring compliance with investment policy statements
  • Assist with the incorporation of legal entities and the formation of trusts 
  • Ensure tax related deadlines are identified, monitored and met
  • Ensure that financial targets and time utilisation are in accordance with set objectives and that time is accurately recorded 
  • Produce client fee invoices, as required
  • Identify opportunities to monitor aspects of client work through use of projects 

The Team

Reporting to a director of the UK fiduciary group, the successful applicant will be one of the first members of a new team; sometimes working on UK projects and sometimes with existing, international teams outside the UK.

You
  • Strong technical knowledge and understanding of trusts, fiduciary obligation, Corporate secretarial experience and related governance and administration along with knowledge of registry requirements to enable delivery of a range of services 
  • Good knowledge of related UK tax obligations and reporting along with an ability to develop wider awareness and expertise of the UK tax regime
  • May have attained or be working towards the STEP Diploma, or equivalent, along with a formal accounting designation, ensuring that CPD requirements are met
  • The ability to communicate effectively Evidence of very effective communication skills with a range of people including clients, trust stakeholders, other professionals and colleagues along with the ability to produce documentation of a slight to moderately complex nature
  • Ability to identify and resolve slight to moderately complex issues with support and direction
  • Pro-active and self sufficient to meet short-term deadlines and objectives, with support and direction and ensure senior team members are appraised of progress and issues with workload
  • Ability to work to specified standards and service levels through a good understanding of the firm’s policies and procedures along with demonstrating a wider thought process around tasks, such as potential impact of actions and associated risk 
  • Lead by example by evidencing a positive and committed approach
